Refund and Subscription Cancellation Policy

Last updated: October 11, 2026

Policy Version

Version 2026.10.11-v1. Last updated: October 11, 2026. This policy applies to subscriptions purchased by customers located in the United States and is subject to applicable U.S. law and the requirements of our payment processor, Paddle.

1. 14-Day Discretionary Refund Window

Customers may request cancellation and a refund within 14 calendar days of the original subscription payment. The 14-day window is calculated from the timestamp of the original payment transaction recorded by Recoupant's payment processor.

Requests submitted after the 14-calendar-day window are outside the standard discretionary refund policy. Late requests may still be reviewed for applicable exceptions, including processor-required refunds or statutory rights that cannot lawfully be waived.

2. Successful Recovery Exclusion

Recoupant's standard discretionary refund policy excludes subscriptions for which reliable platform records establish that the customer successfully recovered revenue using Recoupant during the applicable subscription period.

For this purpose, successful recovery means that revenue has actually been recovered and that the result is supported by reliable records. An estimated opportunity, projected recovery, assessment, report, authorized action, or initiated request alone does not establish successful recovery.

If the customer has not successfully recovered revenue, the customer may qualify for a refund within the 14-day window, subject to review and applicable Paddle requirements.

3. Cancellation and Refund Are Separate

Cancellation and refund approval are separate actions. Customers must cancel their subscriptions to prevent future renewals according to the applicable billing terms. A cancellation does not automatically issue a refund.

To cancel a subscription, use the Billing page in your Recoupant dashboard or the customer portal provided by our payment processor. Cancellation stops future renewals but does not by itself trigger a refund.

4. Refund Request Process

To request a refund, use the "Request Refund" option on the Billing page in your Recoupant dashboard. Recoupant will evaluate the request using authoritative server-side records, including:

  • The original payment timestamp and transaction status.
  • The cancellation request and confirmation timestamps.
  • The applicable 14-calendar-day eligibility window.
  • Whether revenue was actually recovered using Recoupant.
  • The amount and date of any verified recovery, where available.
  • Relevant refund requests and previous refund outcomes.

Recoupant will not automatically reject a refund solely because the customer initiated a recovery action or viewed an opportunity. Estimated or projected amounts are not treated as successfully recovered revenue.

Refund approval is not automatic. Each request is reviewed according to this policy and applicable processor requirements. Recoupant will not automatically issue or reject a refund based solely on an eligibility status.

5. Eligibility States

Recoupant assigns one of the following internal eligibility states to each refund request:

  • Eligible for Review — The request is within the 14-day window and no verified successful recovery was found.
  • Successful Recovery Exclusion — Server-side records show verified recovered revenue. The standard discretionary exclusion may apply, subject to review and exceptions.
  • Outside Standard Window — The request is beyond the 14-calendar-day window. Exceptions may be reviewed.
  • Manual Review Required — Recovery evidence is missing, ambiguous, or contradictory and requires human review.
  • Processor or Legal Exception — An applicable processor requirement or legal right may override the standard policy.

An eligibility state is an internal classification. It does not by itself approve or deny a refund. All refund decisions are reviewed according to this policy and applicable processor requirements.

6. Paddle Refund Process

Refunds are processed through Paddle's supported refund process. Recoupant maintains transaction references, review decisions, processor responses, and final refund status for each request.

Before enforcing the successful-recovery exclusion in production, Recoupant verifies that the proposed supplier refund policy is compatible with Paddle's current refund policy and seller terms.

7. Statutory Rights and Unauthorized Charges

Nothing in this policy limits applicable statutory rights, remedies for unauthorized charges, or other protections that cannot lawfully be waived. If you believe a charge was unauthorized, contact your card issuer and Recoupant support.

8. Checkout Disclosure

Recoupant displays a summary of this policy before the customer completes checkout. The disclosure explains in plain language that a discretionary refund may be unavailable if the customer has successfully recovered revenue using Recoupant. The complete policy, subscription terms, and cancellation instructions are accessible from the checkout page and the Billing page.

The policy version in effect at the time of checkout is preserved and recorded with each refund request as evidence of the disclosure presented.

9. Contact

For questions about this policy or to request a refund, use the Billing page in your Recoupant dashboard or contact Recoupant support.
